2. Child Protection 2


YORK RUFC YOUTH SECTION GRIEVANCE POLICY
It is the policy of York RUFC Youth Section to ensure that players, parents and coaches with a grievance relating to issues at the club may use the following procedure to resolve grievances as quickly and as fairly as possible.

The Grievance Procedure will enable individuals (who have a proper association with York RUFC Youth Section) to raise grievances with designated Officers of the Club about any issues at the club about which they are concerned. This may be done either individually or in conjunction with a representative.

The procedure is intended to provide an open and fair way for any member of the Club to make known their problems and to enable grievances to be resolved quickly before they fester and become a major problem.

The Grievance Procedure is not intended to touch upon matters of discipline which is the subject of a separate, whole Club approach.

2. CATEGORISATION OF GRIEVANCE
To keep the procedure simple and rapid in operation, grievances falling under the following headings should in the first instance be discussed informally with either the Chairman or the Secretary of the Youth Section. The Club hopes that the majority of concerns will be resolved at this stage.

Category of Grievance
(a) Team Management (including issues of communication)
(b) Team Selection (including issues about general selection or individual selection)
(c) Team Duties (including kitchen duties etc)
(d) Coaching (but not including areas related to disciplinary issues)
(e) Parental support / criticism of player (including inappropriate pressure on child or coach)

If necessary, the Chairman or Secretary may involve another officer of the Club to help resolve any grievance at this early stage.
If the grievance is not felt to have been resolved at this stage then the following, more formal, procedure is to be used.

3. STAGE 1
If you feel that the matter has not been resolved through informal discussions, you should put your grievance in writing to the Chairman (or other officer of the Club) with whom the discussions took place. The recipient of this written correspondence must give a response within seven working days in an endeavour to resolve the matter.

4. STAGE 2
If the matter remains unresolved, any individual may resubmit the grievance in writing with the Chairman with reasons as to why they feel the matter is unresolved.. The Chairman must give a response within seven working days, preferably at a face to face meeting. The person pursuing the grievance may be represented or accompanied at this meeting by another member of the club of their choice.

5. FINAL STAGE.
If the matter still remains unresolved to your satisfaction, the person pursuing the grievance must submit, in writing, the basis of their grievance with supporting information and reasons why they consider the grievance unresolved to either the Chairman of the Disciplinary committee of the Chairman of the Senior Section. Within seven working days of the grievance being received, the above officer of the Club shall convene a Panel consisting of not more than three Members of the club (none of whom will have previously been involved on an individual basis with the matter in issue) to consider the grievance. The member pursuing the grievance will be entitled to make representations at a meeting with the Panel at which they may be represented or accompanied by a member of the club of their choice.

The Panel, through the person of the person convening the Panel, will give its decision in writing within seven working days of its consideration of the issue.

The decision of the panel will be final.
